List Builder

The ZoomInfo Database is made up of millions of professional profiles seen on corporate websites, news articles, and press releases and supplemented with validated contributions from over 180,000 members of the ZoomInfo Community. You can use ZoomInfo’s intuitive tools to submit your needle-in-a-haystack requirements and generate a list of B2B contacts within hours – or minutes, depending on the complexity of your search!

 

Contact Info

On the first step of the List Builder wizard, you can select the contact information required on your final list. Every record on your list will contain an email address unless you choose to de-select the Email default and select Phone or Email OR Phone instead.

As you make your selection, you will see your criteria appear in the right-hand column of the wizard. To continue to the next step, click the arrow to the right or the next relevant menu item in the wizard.


Match Files

The second step of the List Builder allows you to restrict your search to a list of companies that you consider to be your target accounts for this list. In ZoomInfo terminology, we consider this to be a “key account” list purchase where all people records are connected to the companies that you provide to us.

If you prefer to search for companies that are not already on your radar, you can skip this step and add search criteria like industry keywords, revenue, number of employees, and much more on the Companies panel.

Click 'Add File' to upload a new file or 'Select from My Lists' for a file you've already uploaded.

To upload a match file be sure that you have formatted the file so that it is in CSV file format and that the first row contains column headers.

To ensure the best possible matches you can map the columns from your file to the corresponding ZoomInfo data points.

After you upload a match file, you will see your updated criteria in the right-hand column of the wizard. The uploaded file will also be added to My Lists so you can access the match file on a future request. To continue to the next step, click the arrow to the right or click the next relevant menu item in the wizard.

NOTE: Due to technical constraints, ZoomInfo is unable to apply the uploaded match file to your search until after you submit your request, so the number of matching results will not be displayed at the top right of the page as you build your list.


Companies

On the next step of the List Builder wizard, you can define the characteristics of companies that you want to appear on your list. Every record on your list will be connected to a company that matches the requirements you submit on this page.

NOTE: If you've uploaded a company match file this step is not available.

To bring back the largest list of relevant companies, browse the directory of Selected Industries and pick categories or sub-categories that describe the kinds of companies you want to appear on your list. Click the blue arrow to the left of an Industry to see sub-categories.

To bring back niche companies, you can use the Selected Industry Keywords field to enter one or more keywords or key phrases that describe target companies. You can use the operator OR between multiple keywords or key phrases to maximize your search results, e.g. cloud OR virtualization.

Under 'Other Company Filters', you can restrict your search results so that only companies with a specified annual revenue or number of employees will be found on your final list. To bring back the largest number of results, do not adjust these filters.

As you make your selections, you will see your criteria appear in the right-hand column of the wizard. To continue to the next step, click the arrow to the right or click the next relevant menu item in the wizard.

 

People

On the next step of the List Builder wizard, tell us what kinds of job titles and job functions that you want to appear on the list. Every record on your list will be connected to a current job title or other background detail that matches the requirements you submit on this page.

Under 'Management Level' you can restrict your search results so that only people at the specified corporate hierarchy level will be included in the final list. To bring back the largest number of results do not make any adjustments to these filters.

To bring back the largest list of relevant people, browse the directory of 'Selected Job Functions' and pick categories or sub-categories that describe the roles that you want to appear on your list. Click the blue arrow to the left of a Job Function to see sub-categories.

To bring back niche titles, you can use the 'Selected Job Title Keywords' field to enter one or more keywords or key phrases that describe target people. You can use the operator OR between multiple keywords or key phrases to maximize your search results, e.g. logistics OR procurement.

Use 'Last Update' to limit your results to people whose information has been updated within a selected period of time.

As you make your selections, you will see your criteria appear in the right-hand column of the wizard. To continue to the next step, click the arrow to the right or click the next relevant menu item in the wizard.

 

Location

On the next step of the List Builder wizard, add location filters to build a list defined by geographic locations. If your company’s goals for this list are unconnected to geographic locations, you can skip this step and continue to preview the final contents of your list.

Use the directories on this page to target people and companies located in a specific state or province, major US and Canadian metro regions, or Country.

You can also search by US ZIP Code. Use the operator OR between ZIP Codes to maximize your search results.

NOTE: Canadian postal codes are not currently supported by the City / State / ZIP keyword field.

As you make your selections, you will see your criteria appear in the right-hand column of the wizard. To continue to the next step, click the arrow to the right or click the next relevant menu item in the wizard.

 

Preview

On the final step of the List Builder wizard, you can review a sample of the people who will appear on this list upon purchase, based on your criteria. You will notice that names and contact information are masked on the preview list, while the person’s current job title and employer are displayed along with the Last Updated Date for the record in the ZoomInfo Database.

By taking a close look at the contents of the Preview page, you can determine whether the criteria you have entered on the previous steps have generated a list that meets your approval. (Keep in mind that match files containing a defined list of companies are not applied to your search until after you submit your request, so the Preview page will almost certainly be populated with companies that are not present on that match file.)

If you are satisfied with the titles and companies on the sample, click the Save Query button and enter a descriptive name and summary so you can locate the query at a later date. After your query is saved, you will automatically continue to the next step, where you can either submit your request or add another query to your request before submission.

If you see records that do not match your expectations, review your search criteria in the right-hand column of the wizard to see if you have included any unnecessary criteria or forgotten to add critical criteria. You can click back to earlier steps of the wizard at any time and make any desired changes. Once you are satisfied with the sample, click Save Query as described above.

 

Your Shopping Cart

Now that you have completed the List Builder wizard and saved your query, you are presented with several options to further fine-tune your list as desired.

On this page, will see any saved queries displayed in the 'Query Name' column, along with the Record Count for that query (before match files or suppression files are applied) and the Description submitted when the query was saved. If you have added multiple queries to the shopping cart, you will see the Record Count for each individual query along with the Total Records (adding up all of the record counts) and the Total Unique Records (removing duplicate records that were returned in two or more queries).

If you want to submit your request without applying any further limits, priorities, queries, or suppression files, you can click Build Your List and ZoomInfo will start processing your request immediately. Your list will be added to 'My Lists' when processing has been completed.

To download the list, you must have sufficient credits allocated to your ZoomInfo account. To purchase more credits, please contact the ZoomInfo Sales team at 866-904-9666.

 

Add Another Query

The first query you save to the shopping cart could possibly encompass all of the records you want to purchase from ZoomInfo – or perhaps you have other requirements that have not been captured in that single query. For example, you may want to build a single list containing C-level contacts at small companies in one industry and VP-level contacts at larger companies in other industries.

It’s easy to build sophisticated lists by clicking 'Add Another Query' and entering your requirements by restarting the List Builder wizard. This new criteria will be saved as a unique query and de-duped against all other queries that you save in your shopping cart. You can save as many as 10 queries into a single shopping cart, and apply limits and priorities to each one.

NOTE: If you have limited your search to a defined list of companies using a match file, that same list of companies will be applied as search criteria to any query in your cart.

 

Suppression List

If you want to avoid re-purchasing contacts that you already have in your B2B database, it’s a good idea to upload a Suppression List on the shopping cart page so ZoomInfo can compare the email addresses in your database with the output of the list you are generating.

Click 'Add File' to upload a new file or 'Select from My Lists' for a file you've already uploaded.

To upload a suppression file be sure that you have formatted the file so that it is in CSV file format and that the first row contains column headers.

To ensure the best possible matches you can map the columns from your file to the corresponding ZoomInfo data points.

The uploaded file will also be added to 'My Lists' so you can access the same suppression list when you make any future requests.

Keep in mind that the suppression list will not be applied to your purchased list until after you submit your request, so the Record Count, Total Records, and Total Unique Records on the shopping cart will not reflect the actual number of records on the final list that is generated and delivered to 'My Lists'.

 

Limits

In many cases, ZoomInfo customers prefer to limit the number of records from each individual company in their generated list. By applying limits, you can restrict your purchase to the most relevant employees that match your requirements without adding clutter to your CRM or marketing automation database. Limits may also help you protect your email reputation and maximize the efficiency of your sales team because your communication is focused on a few targets at each company. Of course, you can always return to ZoomInfo and find more contacts at a later date.

To apply limits per company, click 'Show/Hide Advanced Features' just above the queries in your shopping cart to reveal the Max Results Per Company fields. If you want to apply limits per query, enter a number in the Results per Company column for any applicable query. To apply limits that affect the contents of the full list (whether you have one query or multiple queries in the cart) then you can enter a number in the Overall results per company box under the queries. It is possible to use the query limits and the list limit in conjunction with each other, and also in conjunction with Priorities (described below).

Keep in mind that limits will not be applied to your purchased list until after you submit your request, so the Record Count, Total Records, and Total Unique Records on the shopping cart will not reflect the actual number of records on the final list that is generated and delivered to My Lists.


Priorities

Depending on your plans for the lists you build with ZoomInfo, you may have identified tiers of Job Functions, Job Titles, Industries, etc. with differing levels of value for your company. For example, a customer may prefer to build lists of people whose job titles indicate the work that they do (e.g. Logistics or Supply Chain) but could also find success contacting people whose more generic title could include that role (e.g. Operations). If such a customer wants to build a list with as many bullseye contacts as possible and generic titles whenever bullseyes are unavailable, applying priorities is the best solution.

To apply priorities, click Show/Hide Advanced Features just above the queries on your shopping cart. You will now be able to drag and drop your queries into your desired order so results from the query at the top of the cart will be added to your final purchased list before queries prioritized lower.

Priorities are often used in conjunction with Limits (as described above). After you have saved and prioritized multiple queries in your shopping cart, enter a number in the Max Results Per Company box under the queries to ensure that your final list is populated with contacts from the top-priority query before pulling contacts from lower-priority tiers into the list.

Appends

The ZoomInfo Database is made up of millions of professional profiles seen on corporate websites, news articles, and press releases and supplemented with validated contributions from over 180,000 members of the ZoomInfo Community. You can now use ZoomInfo’s intuitive tools to analyze the contents of your existing database and fill in the blanks with contact information, firmographic data, segmentation insights, and much more!


Select a File

Before ZoomInfo can analyze your data file, you will need to import it into our data management platform. You can import your full B2B database or a representative sample – rest assured that your information is being stored securely and will only be used to fulfill your request. After upload, ZoomInfo will perform a deep analysis of your file’s contents to generate a detailed report of opportunities to append and enrich your people data.

First, click Select a File on the Appends page to browse to your file. If you have already uploaded the file to My Lists within ZoomInfo, you can select it from the list of files. Otherwise, select Upload New File to browse to the file on your computer. Your uploaded file must be in the CSV format and we support a maximum size of 50 megabytes (MB).

We strongly recommend that your file contains descriptive column headers and that you include as many columns of relevant business data as possible so we can provide you with relevant insights.


Submit File Name and Description

After you select your file, you will be asked to provide a file name and description while the file is uploading. By default, the name of your CSV file will be used as the name of the file in ZoomInfo, but you can feel free to edit this default name if you prefer. We recommend that you submit a description so you will be able to identify this list and its associated reports in the future.

After the file upload has been completed, you will be prompted to Submit and Continue.


Map File Columns

Before ZoomInfo can compare the contents of your file with matching records in the ZoomInfo Database, we must map your data to the corresponding fields in ZoomInfo. When you upload a file, ZoomInfo will analyze the column headings and make an automated attempt to associate your columns with ZoomInfo data fields. If we cannot make an automated match, you will see Ignore This Column at the right and that data will not be used in our analysis. Please review our selections to ensure that the data is mapped properly. You can click any field under Our Best Guess to adjust the mapping for your file.

Once you are satisfied with the file mapping, click Submit to continue. When you click this button, you are asking ZoomInfo to analyze your file and generate a report containing insights about its contents. Our automated processes can usually complete the analysis within an hour, but depending on the complexity and size of your file it may take as long as 24 hours. You will be sent an email alert when the report is ready for you to view.

ZoomInfo will not charge you for this report. If you decide to download your file appended with ZoomInfo data after viewing your report, you will be charged for every record that has been appended.


Appends Report

ZoomInfo will send you an email alert when the report is ready for you to view. Click the link in the email alert to access the report within your account. You may be prompted to enter your ZoomInfo username and password before you can view the report.

Your report will be presented as a bar graph with the most critical data fields presented at the left. The data in your existing file is presented in blue, and any data that can be appended to your file is presented in orange. You can hover over any part of the graph to see the raw numbers of records associated with your file, and click any row in the graph to see insights about that data field and how you can improve your processes and drive more revenue by appending your file.

When generating your report, ZoomInfo calculates the number of records in your file that can be appended with just-verified, relevant data. You can see a masked preview of the refreshed list by clicking Preview List.


Preview List

When you click from your report to the masked preview, you will see a sample of the records from your uploaded file, with any new information that appended to your original file displayed in blue text. For purposes of security, newly-appended email addresses and phone numbers will be displayed as checkmarks instead of the actual values. If you choose to purchase this list, the actual email addresses and phone numbers will be included in your file.

If you would like to export your list from ZoomInfo as an appended CSV file, click Get This List and you will be prompted to redeem credits to take delivery of your file. If you have not yet purchased any credits from ZoomInfo, you will need to contact the ZoomInfo sales team before you can take delivery of the list. Call 866-904-9666 during normal business hours to complete your transaction.

At the present time, you cannot deselect rows or columns from your appended list before purchase. If you would like to discuss your appended list with a ZoomInfo representative before purchase, please call 866-904-9666.

 


 

My Lists

When you generate a contact list with ZoomInfo’s List Builder tools, the output is automatically stored within your ZoomInfo account in the secure My Lists section. ZoomInfo employees can also associate files with your ZoomInfo username that you can download directly from My Lists.

In addition, ZoomInfo automatically stores any supporting files that you upload in the course of submitting a request, such as a list of website addresses as a company match file or a list of email addresses to use as a suppression list. These files can be accessed and downloaded at any time in My Lists.

In My Lists, you can view details about your lists and click to download the file as a CSV spreadsheet. Any files associated with your account will be displayed by creation date, with the most recently-created files displayed at the top of the list. Each column provides you with relevant information about the list:

List Name: The identifying name submitted at the time of upload. To change the list name, click the name to access the Details view and then click Rename in the toolbar.

Size: The total size of the uploaded file in KB (kilobytes) or MB (megabytes). This estimated number is provided to give you an indication of how long it may take to download.

Contents: Each file is tagged as “Person” or “Company” based on the contents of the uploaded file. While most person files uploaded to ZoomInfo do contain company information, this tag is intended to describe the entities described on each row of the file.

Records: The total number of rows containing chargeable data in the file. When you click Redeem ZoomInfo credits and download the list, you will be charged this number of credits for the list.

Created: The date and time this file was uploaded to your ZoomInfo account.

If the list has already been purchased or redeemed, you will see a Download button on the far right of the My Lists page. Click that button to start downloading the list within your web browser.

If the list has not been purchased or redeemed, you will see a Redeem button on the far right of the My Lists page. You can redeem pre-purchased ZoomInfo credits to unlock the list for download, or contact the ZoomInfo Sales team to purchase additional ZoomInfo credits.

My Lists Details

On the My Lists page, you can click the List Name to access a preview of the list contents along with other statistics and details about the list.

The name and description that you chose for your list when uploaded or requested will be displayed at the top left of the preview page. (If you want to rename the file so it appears differently on My Lists, click Rename at the top right, edit the file name, and click the Enter key on your keyword to save your changes.)

You will also see relevant details about the list in a table at the center of the page, including the creation date, the number of records in the file, and the size of the file in kilobytes (KB).

The File Type in that table describes the origin of the file and its contents:

Customer Uploaded: The file was uploaded directly to ZoomInfo to support a request for analysis or to generate a list for download (e.g. suppression lists or company match files). These lists can always be downloaded at no charge.

List Pull: The file was generated by List Builder using only selected criteria to define the people and companies on the list. These lists can only be downloaded after payment has been made.

Key Account: The file was generated by List Builder using a company match file to define the companies on the list. These lists can only be downloaded after payment has been made.

Data Append: The file was generated by Insights, adding new columns of data to an existing uploaded file. These lists can only be downloaded after payment has been made.

The details page will contain a preview of your file (limited to 1000 records) containing all columns that will be available to you if you choose to download. You can navigate the preview using scrollbars at the bottom and far right of the preview pane. To view all columns, scroll to the bottom of the preview window and drag the scrollbar from left to right.

Columns containing contact information may be masked if the list has not been approved for download (e.g. you will see a blue checkbox instead of an email address or phone number). Those columns will contain clear text with the actual contact information when payment is made by redeeming credits.

To redeem credits and purchase your file, click Redeem at the right of the preview page. If you have sufficient credits, you will see a confirmation of your existing credit balance and the number of credits required to complete the transaction. If you do not have sufficient credits, contact the ZoomInfo Sales team to purchase additional ZoomInfo credits.
